Guidelines on

Oral and Poster Presentations

All authors please check emails and conference webpages regularly for the latest information on the arrangement of presentation sessions.

Presenting Author(s)

Each paper accepted for oral or poster presentation should have at least one designated presenting author attending the live session at scheduled time (https://www.iscslp2021.org/program/program-details/). All other authors are welcome to join the session and interact with conference participants. A paper that does not have authors attending the scheduled live session will be regarded as “no-show”.

Arrangement of Oral Presentation Session

About 1 week before the conference, author(s) will receive the Zoom login information of their presentation session. At the scheduled session time, the authors will log in to the designated Zoom meeting room, interact with the session chairs, and answer questions from the audience. Only the session chairs, the presenting authors and technical support personnel will be in the Zoom meeting room. Non-author participants will watch the web-based broadcast live session and raise questions in text format via the broadcast webpage. The session chairs, assisted by session assistants, will be responsible for playing the pre-recorded presentation videos according to the schedule, collecting questions from the broadcast webpage, moderating the Q&A interaction between presenting authors and audience.

Presenting authors are advised NOT to simultaneously watch the web-based live broadcast, or they may get confused by the delayed sound output from the broadcast. If the presenting authors wish to view the audience’s questions on the broadcast webpage, they are suggested to mute the audio output of the broadcast.

An oral session is organized as follows:

  • Presenting authors of all papers in the session are required to join the Zoom meeting at least 10 minutes before the session starts. When an author first enters the Zoom room, he/she should input the name as “Author: First-name Last-name”, e.g., “Author: Lawrence Cheung”.
  • The session chairs will moderate the paper presentations. Each paper is allocated a time slot of 20 minutes in total. Each time slot will begin with the 15-minute presentation video. The following 4 minutes will be for Q&A. Authors are encouraged to turn on their cameras during Q&A.  The session chairs will select questions submitted by audience via the broadcast webpage and convey them to the presenting authors. Authors will respond to the questions instantly on Zoom. Session chairs could also invite authors of other papers present in the session to ask questions.

Arrangement of Poster Presentation Session

The poster sessions will be conducted as Zoom meetings which any registered conference participants can join freely. Each poster session is 45 minutes long, consisting of 12-13 papers presented in parallel in separate breakout rooms in one Zoom meeting. Conference participants can choose to join any of the 12-13 Zoom breakout rooms (like in a real poster session), and freely discuss the papers with the presenting authors. The Zoom room ID for each poster session will be available together with the PDF file and a pre-recorded video presentation on the “Virtual Conference” page of the conference website.

Authors of a poster presentation are expected to enter the designated Zoom meeting room at least 5 minutes before the session starts. Breakout rooms will be named after your paper ID, e.g., P1-2, P2-12. Please go directly to your breakout room when you join the Zoom meeting and stay in the room during the entire session. When an author first enters the Zoom room, he/she should input the name in the format of “Author: First-name Last-name”, e.g., “Author: Brian Mak”. There will be no moderator for poster presentation. Authors and conference participants can interact freely by voice, text chat, sharing of visual display, etc.
